Digital Products & Experiences Operations Associate
Role Summary
The Digital Product & Experience Operations Associate plays a critical role in keeping DPX’s product work organized, on track, and moving. Reporting to the Head of Product Operations, this role is the delivery-coordination backbone for the team: maintaining the plans, logs, and reporting the team relies on, and supporting the Product and Strategy leads across the product lifecycle. It is a hands-on role for an early-career contributor who wants to learn the discipline of digital product delivery inside a regulated environment by being genuinely useful, not by observing.
Role Responsibilities
- Own scheduling and logistics for assigned workstreams: maintain accurate project plans, track milestones, flag timeline risks early, and keep owners aligned on what is due and when.
- Maintain a live RAID log (Risks, Assumptions, Issues, Dependencies) for assigned projects: surface new entries proactively, track mitigation actions, and escalate blockers to the functional lead or Operations before they affect delivery.
- Track action items across workstreams: follow up with owners, flag items at risk of missing deadlines, and maintain a single source of truth the team can trust.
- Contribute to status reporting: draft weekly or sprint-level status updates that accurately reflect progress, outstanding decisions, and upcoming milestones, written for a stakeholder audience rather than just the internal team.
- Facilitate recurring team meetings: prepare agendas in advance, capture decisions and action items, and distribute clear follow-up notes with owners and due dates within 24 hours.
- Support intake and scoping for new requests: document requirements, confirm resourcing and timing with relevant leads, and ensure new work enters the right workflow with clear ownership before execution begins.
- Support change control: document scope changes, assess timeline and resourcing impact with the functional lead, and ensure adjustments are communicated and recorded before execution shifts.
- Maintain project documentation in the appropriate tools (Smartsheet, Jira, or equivalent), keeping plans, logs, and trackers current so the team spends its time on the work, not on reconstructing where things stand.
- Support the Product and Strategy leads across the product lifecycle, contributing to requirements and roadmap development, competitor and market research, and launch coordination.
- Collaborate with Digital, Legal, Compliance, Regulatory, Medical, and Marketing through design, development, QA, MLR, and release.
Basic Qualifications
- Applicant must have a bachelor's degree with 0+ years of experience; OR an associate's degree with 4 years of experience; OR a high school diploma (or equivalent) and 6 years of relevant experience
- 0-2 years in product, operations, program coordination, or a related role, with a track record of keeping complex work organized and on schedule.
- Strong organizational and project-coordination skills, with demonstrated ability to maintain plans, logs, and trackers others can rely on.
- Clear, stakeholder-ready written communication, particularly status reporting and meeting documentation.
- A human-centered mindset, with an interest in the end customer and how digital products serve them.
- Courage to flag risks and surface issues early, including to senior stakeholders.
- Strong writing, presentation, and influencing skills.
- Discretion and trustworthiness in dealing with confidential information.
- Role model for the PFE Values (Courage, Excellence, Equity, Joy).
Preferred Qualifications
- Experience in health tech, regulated environments, or pharmaceutical/life sciences organizations.
- Exposure to AI tools, prompt engineering, or automation workflows, either professionally or through independent learning.
- Background or demonstrated interest in UX research, product strategy, or innovation methodologies.
- Working knowledge of Agile values, principles, and practices.
- Comfort with project and work-management tools (e.g. Smartsheet, Jira) and an appetite to use AI-enabled tools to work faster.
