The role

Nebius is looking for a Operations Lead.

The Operations Lead provides operational and PMO support to the Physical Security Delivery Managers and maintains consolidated visibility across the project portfolio. The role supports projects involving data centers, warehouses, and offices, including new-site development, renovations, upgrades, and security design. 

The Operations Lead consolidates project progress, budgets, forecasts, risks, and dependencies for management reporting, while supporting procurement processes and vendor coordination. Delivery Managers remain accountable for the execution and delivery of their respective projects.

Your responsibilities will include: 

  • Own and coordinate operational and PMO support processes across the global Physical Security organization.
  • Maintain a consolidated view of all Physical Security projects based on information provided by the Delivery Managers.
  • Maintain visibility across projects involving data centers, warehouses, and offices, including new-site development, renovations, upgrades, and security design.
  • Provide Delivery Managers with operational support, including reporting, documentation, budget tracking, procurement, action follow-up, and coordination with internal stakeholders.
  • Consolidate project progress, budgets, forecasts, milestones, risks, and dependencies into dashboards and management reports.
  • Monitor project budgets, track actual expenditure, support forecasting, identify variances, and escalate issues when required.
  • Create, track, and manage Purchase Orders (POs), invoices, and related financial processes.
  • Help to coordinate with Finance, Procurement, and Legal on purchasing, contracts, invoices, and vendor onboarding.
  • Help manage vendor-related operational processes and maintain visibility of deliverables, timelines, commercial commitments, performance issues, and required follow-up.
  • Maintain common reporting tools, templates, processes, and governance routines across the project portfolio.
  • Identify missing information, delays, risks, and inconsistencies, and follow up with the relevant Delivery Manager or stakeholder.
  • Organize portfolio reviews, operational meetings, and management reporting, and track decisions and follow-up actions.
  • Develop and continuously improve operational processes, documentation, and internal procedures.
  • Support strategic initiatives and special projects led by the Head of Physical Security IT & PMO. 

We expect you to have: 

  • 3+ years of experience in Operations, PMO, Project Coordination, Business Operations, or a similar role.
  • Experience working with budgets, procurement processes, and financial tracking.
  • Experience coordinating activities across multiple stakeholders and teams.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Comfortable working with Finance, Procurement, and Legal teams.
  • Strong knowledge of Microsoft Excel and Microsoft 365.
  • Experience with project management and collaboration tools is an advantage.
  • Self-driven, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
  • Experience using AI tools to improve productivity and automate routine operational tasks.
